RSVP reminder messages for a kids' birthday party (copy and paste)

Parents not replying is rarely rude: invites get buried. A short, warm, private nudge fixes most of it. Here's what to send, and when.

Why parents don't RSVP (and what helps)

It got buried

A paper invite in a backpack or a message in a busy group chat. Fix: a personal message, with the details one tap away.

They're checking the calendar

Custody weekends, sports, a sibling's plans. Fix: say a maybe is fine and give them a date to confirm by.

No feels awkward

So they say nothing. Fix: "A quick no is just as helpful" in the invite and the reminder.

They forgot to reply after reading

Fix: one reminder a few days before your date, then a last call.

Reminder messages you can copy

A friendly nudge (3-4 days before your RSVP date)

Hi! Just checking you got the invite to Ava's 6th on Saturday the 14th. Could you let me know by Thursday if Noah can come? A no is totally fine too!
Hi Sara! We'd love to have Mila at Leo's dino party on the 14th. Here's the invite again in case it got buried: [link]. Reply when you can!

The last call (the day of your RSVP date)

Hi! I'm putting in the pizza order tomorrow. Will Noah be joining us on Saturday? Just a yes or no is perfect.
Last call for Ava's party headcount! If we don't hear back we'll assume you can't make it this time, no worries at all.

Venue with a headcount deadline

Hi! The trampoline park needs our final number by Wednesday, so could you let me know if Max can come? They'll need a signed waiver too: here's the link.

Replying to a late yes

So glad he can come! We'll see you at 2:00. Any allergies I should know about?
Thanks for letting me know! The venue's list is closed, but I've asked if they can add one more and will let you know today.

Plan for the families who never reply

After your last call, plan as if non-replies aren't coming, but have a little extra food and a spare favor or two. Most hosts find someone turns up anyway. If the venue charges per child, ask whether you can add a guest on the day.

For food amounts, the party food calculator adds a small cushion for exactly this.

Frequently asked questions

Is it rude to send an RSVP reminder for a kids' party?

No. A friendly reminder a few days before your RSVP date is normal and helps you plan food, favors and the venue headcount.

What do you say when someone doesn't RSVP to a birthday party?

Keep it short and private: "Just checking you got the invite to Ava's party on the 14th. Could you let me know by Thursday? A no is totally fine!"

When should the RSVP date be for a kids' birthday party?

About a week before the party, or a few days before a venue's headcount deadline. Send one reminder a few days before that date.

What if a guest shows up without RSVPing?

Welcome them. Keep a little extra food and a spare favor, and quietly ask the parent for a pickup number and any allergies at the door.
