Trampoline park, bowling and venue birthday party invitations: wording, waivers and headcounts

Venue parties are easy on the house and hard on the headcount. The invite has to carry the venue's rules: arrival time, waivers, socks and a firm RSVP date.

Venue invitation wording examples

Trampoline park

Jump into Leo's 7th birthday! Saturday 1:00-3:00 at the trampoline park. Please arrive at 12:45 to check in, and fill in the waiver before you come: [link]. Grip socks are provided.
Bounce, bounce, birthday! Drop-off 3:00, pickup 5:00 at the party room. RSVP by Tuesday: the park needs our final number.

Bowling

Let's roll! Ava is turning 9. Bowling, pizza and cake, Sunday 12:00-2:00. Socks required for bowling shoes.
Strike up the fun: Max's bowling party! Please RSVP by Thursday so we can reserve enough lanes.

Any venue

Meet us at the climbing gym's front desk at 10:15 for a 10:30 start. Wear comfy clothes; the gym provides everything else.

What a venue invitation must include

  • Arrival time, if check-in starts before the party (often 10-15 minutes)
  • The waiver link, so parents sign before they arrive instead of at the desk
  • What to wear: grip socks, closed-toe shoes, socks for rental shoes
  • Which entrance or room, and where to park
  • Drop-off or stay, and where pickup happens
  • An RSVP date before the venue's headcount deadline

Questions to ask the venue before you book

  1. How many kids are included, and what does each extra child cost?
  2. When do you need the final headcount, and can it change on the day?
  3. Do you send a waiver link, and does every child need one, even siblings?
  4. Is food included? Can we bring our own cake, and are there allergy rules?
  5. How long is the jump or play time, and how long is the party room?
  6. Do you provide a host, and how many adults do we need?
  7. Is there a deposit, and what's the cancellation or weather policy?

Costs vary a lot by city and package, so add the quote and the extras to the budget planner (choose "Arcade or venue").

Hitting the headcount deadline

Set your RSVP date two or three days before the venue's deadline, send one friendly nudge, then a last call that mentions the venue. Families respond to a real reason. Have a plan for a late yes: ask the venue up front whether they can add a child on the day. Copy-and-paste RSVP reminder messages.

Frequently asked questions

What do you write on a trampoline park party invitation?

The date and time, an earlier arrival time for check-in, the waiver link, grip socks, drop-off or stay, and an RSVP date a few days before the park's headcount deadline.

When should I send invitations for a venue party?

Three to four weeks ahead, with an RSVP date two or three days before the venue needs your final number.

Do siblings need a waiver at a trampoline park?

Often yes if they'll be on the floor. Ask the venue, and say on the invite whether siblings are included.

How many kids should I invite to a venue party?

Start with the number the package includes and check the price of each extra child. Our how-many-kids helper covers the age-plus-one guideline and the whole-class question.
